Office Move Planning: How to Relocate Your Business With Minimal Downtime

An office move touches everyone: staff, IT, clients, vendors and your building managers. The goal is simple: the last day in the old space and the first day in the new one should feel like normal workdays. Here’s how to get there.
Start earlier than you think
For a small office, begin planning at least two to three months out. For larger or multi-floor moves, start sooner. Early planning gives you time to:
- Review your lease terms and move-out requirements for the old space
- Get building rules for both locations (elevator bookings, loading dock hours, certificates of insurance)
- Collect quotes and choose a commercial mover
- Plan the new layout before anything is packed
Appoint a move coordinator
Pick one person inside your company to own the move. They’ll be the single point of contact for your movers, IT team and building management, and they’ll keep everyone informed. A clear owner prevents the “I thought you handled that” moments.
Plan the new space first
